Booking Terms and Conditions

Bad Weather Conditions & Bookings:

Cotswold Clubhouse is aware that bad weather can make it difficult for you to attend a booking at the Clubhouse. However, we can only offer refunds or exchanges for any session, class or event, if the Clubhouse have cancelled, or rescheduled it.

Cancellations

• Pre-booked tickets are non-refundable and are valid for the session they have been booked for only.
• If you are unable to attend your session:

Email bookings@cotswoldclubhouse.co.uk BEFORE the start of your pre-booked session. Please include your booking reference, reason for amendment and the date you would like the booking moved to. We can then transfer your entire booking to an alternative session, subject to availability - Please allow up to 48 hours for any ticket amendments to be actioned.

• Unfortunately, we are unable to move only part of a booking.
• We are only able to make 1 session change per booking. If you are not sure what date you would like to move your session to, we can hold your tickets unredeemed for up to 1 month, but they must then be allocated to a new session date. This new session must within 6 months of the original session date.

Play Gym Rules:

Cotswold Clubhouse is a clean, safe and secure environment for your little ones to play and have fun. We ask all visitors to stick to our Clubhouse Rules when visiting us, so that we can maintain a safe and enjoyable experience for all.

We have worked hard to control risks through the design and maintenance of our facility, so that children can feel free to play. However, it is impossible to eliminate certain risks involved with physical activity, such as tripping, falling and bumping into fixed objects and other children. Therefore, we ask that Parents/Guardians understand and accept this.

Play Gym is free play and not instructor led. All children must be supervised by their own parent or guardian.

The toddler soft play area is strictly for children aged 3 and under. It is the responsibility of the Parent/Guardian to ensure that children over this age do not play in this section.

Children must remove spectacles (unless shatterproof), jewellery and any sharp and/or loose objects, including badges, before entering the play area. We advise that clothing with ropes cords and toggles should not be worn in the play area.

No food, drink or chewing gum is allowed in the gymnasium area.

Balls must not be removed from the play areas.

Parents and Guardians are solely responsible for the control, care and safety of their child/children at all times whilst at the Cotswold Clubhouse.

All visitors must remove shoes and be wearing socks to use the gym and play equipment. Socks can be purchased from reception.

Children must remove spectacles (unless shatterproof), jewellery and any sharp and/or loose objects, including badges, before entering the gymnasium. We advise that clothing with ropes cords and toggles should not be worn.

PLEASE NOTE DRESS CODE: For children's safety and protection of the Gym equipment, please no buckles and zips, no jewellery/ watches, no denim (we advise leggings or tracksuit bottoms for comfort), no jackets to be worn in the gym, no tights/ skirts/ dresses, and long hair must be tied up.

Adults are not to utilise the equipment. This is a play time for children and to avoid any injury, adults must not play on the equipment.

Accidents or Illness

In the event of any accident or injury please report to a member of the team. They will then record this in our accident book.

Children who are unwell should not use any of our gym facilities.

No child or adult wearing any form of plaster cast may play or enter the equipment at any time.

General

To ensure the safety of our visitors any damage to play equipment must be reported to a member of staff whether deliberate or accidental.

Cotswold Clubhouse takes no responsibility for lost, damaged or stolen property whilst within the centre.

Aggressive behaviour (verbal or physical) will not be tolerated and we reserve the right to remove anyone, child or adult, to leave if their behaviour is likely to threaten the safety or enjoyment of others.

Visitors are welcome to take pictures of their children, but when doing so we ask that you make every effort to ensure that you only take images of children that are in your group.

We have a strict no smoking policy at Cotswold Clubhouse. There is to be no smoking anywhere on the Clubhouse premise, inside or outside. E-Cigarettes are not permitted inside the centre.

Admission to Cotswold Clubhouse is based upon your acceptance and adherence of the Clubhouse rules. We reserve the right to amend our rules of play at any time; these will always be kept up to date on our website.

NCGTA Gymnastics Sessions:

Payment & Cancellation terms:

Payment is required in full at time of booking the sessions. Payment via direct debit is available, please contact admin@cotswoldclubhouse.co.uk for more information.

To cancel your booking we require half a terms notice. Your refund will be the remaining sessions minus half the original terms sessions.

Terms & Policies – By booking your classes with NCGTA you are also agreeing to our code of conduct which is available to view at front desk, or upon request.

Please ensure that your child attends sessions promptly.

Please inform Cotswold Clubhouse through 01451 263130 or bookings@cotswoldclubhouse.co.uk of any absences.

As a member of British Gymnastics, we are required to comply to its policies which includes ensuring that all gymnasts must also be a member of British Gymnastics.

Please make sure that we have a mobile number to contact you in case of an emergency and email address in order to contact you regarding updates and any changes to disclaimer or policies, if necessary.

You agree, as a parent or guardian, that you drop off your child for their session and will not be permitted to enter the gymnasium while classes are taking place.

Parental photography or use of mobile phones is not permitted in gym sessions or classes.

You agree to (with the exception of initial trial session/s) to ensure your child wears the appropriate uniform for the class, with socks/trampolining shoes for trampolining and failure to do so may result in the child not being able to take part in any/all activities.

Child participants (those under the age of 18) must have a parent or guardian sign a waiver/disclaimer before authorised to take part in any gymnastic or trampolining activity.

Adult participants (those over 18 years of age) must sign a disclaimer for before taking part in a gymnastic or trampolining activity.

The participant acknowledges and accepts that their participation in the activities provided by North Cotswolds Gymnastics & Trampolining Academy entails known and unknown risks that could result in physical or emotional injury, paralysis, death or damage to themselves to property or to third parties. NCGTA and staff who work here will not be held responsible if an injury happens to yourself or your child.

The participant further acknowledges that the activities provided by North Cotswolds Gymnastics & Trampolining Academy require a reasonable level of fitness and ability which the participant acknowledges that they possess;

That the activities provided by North Cotswolds Gymnastics & Trampolining Academy are not available to pregnant women who are not permitted to participate.

The participant acknowledges and agrees that they are responsible for their own safety and the safety of others whilst partaking in the activities.

The participant understands that the activities are undertaken with coach supervision will ensure that they comply with all instructions given at any time during the activities by North Cotswolds Gymnastics & Trampolining Academy Coaches or any of its staff.

The participant agrees that they will only carry out activities that are within their skill level and of which they are able to retain control of at all times. Activities are performed at the participants own risk.

The participant warrants that they do not have any medical condition nor have had any medical condition which may make their participation in the activities more dangerous or may increase any risk of injury to them or others, or make it more likely that they will be involved in an incident which could result in injury during the activity. All medical conditions and injuries must be reported to a member of staff.

The participant acknowledges that North Cotswolds Gymnastics & Trampolining Academy is not and shall not be liable for any damage or loss which the participant may incur or any damage or loss to them to any third parties or property however incurred whilst the participant is undertaking the activities at North Cotswolds Gymnastics & Trampolining Academy or any premises it is using for the club.

The participant agrees and promises to accept to be responsible for any and all risks existing and subsisting in the activity from time to time and acknowledge that their participation in the activity is voluntary and that they elect to participate despite of the risks and agree to accept the consequences of so doing save only to the extent that North Cotswolds Gymnastics & Trampolining Academy by law is not permitted to exclude such liability.

That your child will not wear any jewellery, will have their hair neatly tied and will be wearing appropriate clothing / uniform for the activities of the session.

That you will collect your child personally from the door on time. Please understand that Cotswold Clubhouse is unable to let participants leave the building without a suitable adult / parent collecting them. In order to safeguard our participants we are required to contact the Local Authority if your child is either, not collected regularly, or, more than 20 minutes late.

Holiday Camps:

Payment terms & cancellations:

Full payment is required at the time of booking.

Bookings are non-refundable. If your child is unwell and unable to attend, please contact bookings@cotswoldclubhouse.co.uk and we will try to rearrange your booking to a future date.

You will incur and pay a late fee for every 15 minutes or part of which you are late collecting your child / children after 5:15pm. This late fee is charged at £5 for 15 minutes (so for example if you are 20 minutes late and don’t arrive until 5:35pm then you will incur a £10 late fee charge for the first 15 minutes and part of the second 15 minutes).

Term & Policies

If you are using either of the late collection options, you must be very prompt with collecting your child. Childcare provisions are made based on the number of children within this service and we will not be able to cover any children beyond the time booked for collection.

Please make sure that we have a mobile number to contact you in case of an emergency and email address in order to contact you regarding updates and any changes to disclaimer or policies, if necessary.

Please ensure that your child attends sessions promptly, having with them their packed drink and lunch for the day.

Please inform Cotswold Clubhouse through 01451 263130 or bookings@cotswoldclubhouse.co.uk of any absences of my child/children.

You agree, as a parent or guardian, that you when you drop off your child for their camp / session you will not be permitted to enter the hall while classes are taking place.

Parental photography or use of mobile phones is not permitted in camps / sessions.

You agree to ensure your child wears the appropriate clothing as specified at the time of booking and failure to do so may result in the child not being able to take part in any/all activities.

Please remind your child/children that they are expected to maintain a good standard of behaviour at all times and must treat all staff, coaches & fellow participants with respect. Please also understand that should poor behaviour be displayed on a regular basis, the staff will contact you to ask that your child/children are collected.

Any discipline matters or concerns should be discussed with the staff / coach or alternatively with a manager at a mutually convenient time.

It is not acceptable to be abusive or rude to any member of staff at any time and that this will result in immediate cancellation of your child / children’s membership.

Please ensure that you have added admin@cotswoldclubhouse.co.uk and finance@cotswoldclubhouse.co.uk in my contacts list to avoid Cotswold Clubhouse emails going to the junk folder.

Parties:

Payment terms & cancellations:

A party must be paid in full at time of booking to guarantee the slot.

Cancellations up until 2 weeks prior to the party date will only be eligible for 25% of the party cost to be refunded. If, for some unforeseen reason, Cotswold Clubhouse have to cancel a party, all monies would be refunded.

Cancellations less than 2 weeks before the scheduled start time are required to pay 100% of the full party balance.

If there are adverse weather conditions and the party venue is unable to open on the day of the party, we can postpone the party to another date acceptable to both parties.

General

Parties at Cotswold Clubhouse are not exclusive unless booked as an out of hours Private Hire. However, we will allocate a room for your party which is exclusive to you for the party’s time slot.

Party bookings can be made for less than the minimum number of guests but will be charged for the minimum number of party guests.

You may enter the party room 15 minutes before the party is due to commence.

The party room must be vacated at the end of the Party time slot, to enable us to prepare for the following booking. We will give enough notice to do this – it will be your responsibility to ensure all of the groups property is removed by this time.

As the Party Organiser, you are responsible for:-

  • Ensuring that the details of your booking are correct and alerting Cotswold Clubhouse to any amendments required, in line with the Terms & Conditions of booking.

  • Making sure that we are aware of any additional needs for your party group.

  • You must remain within Cotswold Clubhouse at all times throughout the party.

  • Ensuring that all members of the party group are aware of our Rules of Play

  • Confirmation of your party booking is based upon your acceptance and adherence of our Party Terms & Conditions. Our team are here to help - please ask if you need assistance.

Room Hire:

The Clubhouse Party Room is also available for businesses to hire for sessions. If you wish to enquire about availability and cost, please email bookings@cotswoldclubhouse.co.uk. Please state the nature of your business and what you require the room for and for how long per session.

  • Once hire has been confirmed, an invoice will be issued to the hirer. Payment is required upon receipt of the invoice.

  • CANCELLATIONS: To receive a full refund Cotswold Clubhouse require 1 month's notice. Cancellations up until 2 weeks prior to the room hire date will only be eligible for 50% of the party cost to be refunded. Cancellation with less than 2 weeks notice will receive no refund.

We are happy to support local businesses and run other classes and sessions in the Clubhouse, to offer our customers wider options. We need to put our cancellation policy in place, as we can miss out on hiring the room for parties, and therefore need to make sure that people hiring the room are confident with moving forward with their booking.
